Terms and Conditions of Hire of Premises and Grounds:

The Hirer agrees to the Conditions and undertakes to be present, or to arrange for sufficient competent
representatives to be present, throughout the hiring to ensure our terms and conditions are met.

The Hirer is responsible for:

  1. Ensuring that the number of people using the Premises does not exceed that permitted for those rooms
    under the Premises License for the purpose of the hire.
    Main Hall= 95, Small Hall= 40, Tennyson Room= 40.
  2. Ensuring that the Centre is: left with all chairs and tables cleaned and the rooms tidy, windows and
    doors closed, all lighting and electrical equipment switched off and all taps turned off when leaving the
    premises. Toilets and kitchens are left tidy and all equipment, furnishings and furniture remains fit for
    purpose at the end of the hiring.
  3. Making sure that all damage and breakages to property and equipment are reported and paid for.
  4. Ensuring that fire procedures, as displayed in the room, are followed.
  5. Making sure that the position of all fire exits is known and that they are free from obstruction, can be
    safely used and that there are no obvious fire hazards on the premises. Naked lights (e.g. tea-lights or
    candles) are NOT allowed. Please ensure that all fire doors are securely fastened when leaving the
    premises.
  6. Monitoring that music noise is kept to a reasonable level.
  7. Providing a responsible adult to monitor admittance and behaviour of attendees, including no under-age
    consumption of alcohol.
  8. Ensuring that any equipment brought into the building has passed relevant safety tests and is fit for
    purpose. Any accidents resulting from equipment brought into the building are the responsibility of the
    hirer.
  9. Ensuring that a risk assessment is carried out, prior to the event, and that the Hirer is satisfied that the
    space hired is safe and fit for purpose.
  10. Ensuring all accidents are reported to the authorised representative of the HDCA and recorded in the
    centre accident book, that is hung up in the Main Kitchen.
  11. Ensuring that no illegal substances are present in the Community Centre or in the immediate vicinity.
  12. Ensuring that no smoking or vaping is allowed in the building.
  13. Ensuring that the law relating to gaming, betting, and lotteries is not contravened.
  14. Ensuring that all preparation, serving or selling of food meets all relevant food health and hygiene
    legislation. In particular, dairy products and meat/fish on the premises, must be refrigerated.
  15. Ensuring that all posters, balloons etc. are attached to the wooden batten in the Main Hall with
    ‘Blu-Tack’ or pins. No ‘Sellotape’, pins or ‘Blu-Tack’ to be used on painted walls. Do not fix
    decorations near light fittings or heaters.

The Community Centre accepts no responsibility for any stored equipment on the premises and all liability
for loss or damage is hereby excluded.

HDCA is not responsible for:
Bodily injury or death or for the damage or destruction of any property which may occur on the
premises during the event, or responsible for any claims, demands, judgements, expenses and other
costs from any such incident. Commercial Users require their own Public Liability and Insurance.

Any infringement of the Terms and Conditions of hire will lead to forfeiture of further bookings. We are
proud of our Community Centre and ask that you treat it with respect.

what our Community wants.

Please report any safety concerns or deficiencies immediately.

I/We accept the conditions as listed above and agree that any damages or breakages whatsoever caused to
the premises, must be paid by us.
